Advancing and Extending Terms

Override Term Date and Freeze Term Date allow the data from student information systems to be accessed in advance of a term start date or extended beyond a term end date.

Override Term Date

Override Term Date allows you to view staged data and provide eBook access before a term is active.   Common uses include reviewing rostered data before a term starts and providing access before the rostered data's class start dates.  

When would you use this?  

  • If you are setting up for the next term and want to review the staged data from the roster import prior to the class start dates.
  • If your classes have not started and you want to provide access to eBooks before the term.

Steps to add an override term date:

  1. Once logged in at integrations.cpm.org choose Schedule is Paused or Schedule is Live on the Integration Settings Checklist from the dashboard.
  1. In the Override Term Start Date tile select the calendar icon to access the calendar.
  2. Select the date of the first day of the term and OK.
  3. Save.

Be sure to remove the override date once the date has passed.  A forgotten override date will cause issues when a new term starts. To remove the override date, highlight the date and then press delete on your keyboard. Save.

Steps to view stage data:

Once you have added an override date you will need to import the roster data to populate the staged data for review.

  1. From the dashboard, select View on the Last Roster Import tile.
  1. Select Manual Import to begin the import for the data based on the override date.
  2. You will receive a notification that the import has started.
  1. Use a hard refresh to update the page in your browser (shift + refresh). Once the import has completed you can access the Import Reports to see the Staged Results for the classes.
  2. Class rosters are visible by selecting the ClassId.

If your integration is set to paused the nightly syncs are paused. Licenses will not be assigned by automated rostering.

Freeze Term Date

Freeze Term Date allows you to extend eBook access past a term's end date.   This can be used to extend access to eBooks during breaks or past the last day of class.  

Freeze Term Date pauses automated rostering and extends the class end dates in CPM's eBook Licensing System.

Steps to add a freeze term date:

  1. Once logged in at integrations.cpm.org choose Schedule is Paused or Schedule is Live on the Integration Settings Checklist from the dashboard.
  1. In the Freeze Term Date tile select the calendar icon to access the calendar.
  2. Select the date of the new end date and OK.
  3. Select Freeze & Pause Schedule.
  1. A manual license sync is needed to set the new class end dates in the eBook Licensing System. See steps to manually sync licenses in next section.
  2. On the day after the original class end date, re-enter the freeze date and resync again.

Running an import (manual or automated) removes the freeze term date settings.

An alternate for step 6 above is to end the current classes by putting in a Freeze date before "today" and resync.  Then complete steps 3-5.

Steps to manually sync licenses:

Once you have added an freeze term date you will need to manually sync licenses to extend the class dates in the eBook Licensing System.

  1. From the dashboard, select View on the Last License Sync tile.
  1. Select Resync to manually sync licenses with the eBook Licensing System.
  2. Select Confirm on the Sync Licenses notice.
  1. Once the resync has completed you can verify the new end dates for classes in the eBook Licensing System.
  2. Class end dates in the eBook Licensing System now match the specified freeze term date.
